Organisations
Arrange who gets access, which groups exist and who manages them: create an organisation, members and roles, settings and what is visible on the server.
With an organisation you arrange how your team uses Databeamer: who gets access, which groups there are and who is responsible for management.
Do you want to collaborate with colleagues in groups and use the associated features? Then that access runs through an organisation. Every group falls under the responsibility of an organisation. The organisation can take out a subscription for this, which among other things arranges the available features, the number of users and the storage space.
An organisation has its own settings, members and roles. For example, you can decide who may manage groups, set the branding for external guests and, if your plan supports it, configure single sign-on.
Are you responsible at organisation level? Read more in For organisation administrators.
Creating an organisation #
Choose New Organization from the New menu, or Create an organization on the dashboard. Give it a name; the slug becomes part of the web address. You become the organisation's Owner.
Organisations are available on plans that include this feature. If your plan does not support organisations, Databeamer tells you so when you choose Create organization.
Members and roles #
Under Settings › Members you can add a Databeamer user to your organisation with Add member. Each member has a role:
| Role | Can |
|---|---|
| Owner | Manage everything, including deleting the organisation, managing single sign-on and changing other owners. |
| Admin | Manage members, groups and settings. |
| Member | Use the organisation's groups they are a member of. |
With Change role and Remove member in a member's menu you adjust their access.
If single sign-on is enabled, new SSO users appear under Pending SSO members until an admin chooses Approve.
Settings #
Under Settings you find several sections to set up the organisation your way:
- General – change the name, slug and logo.
- Guest pages – set the wallpaper and background gradient guests see when opening transfers, requests and Secure Mail. Groups and individual requests can deviate from it.
- Groups – view the organisation's groups. With Show groups pending removal you also see groups that are being removed.
- Document types and Group types – manage the classifications, statuses and labels your organisation uses. These labels are visible on the server, unlike the encrypted file contents. So do not put confidential details in them.
- Single sign-on – if your plan supports it, the owner can connect an identity provider over OpenID Connect or SAML 2.0. You can optionally disable password login.
- Shared mailboxes – available when Secure Mail is enabled for the organisation.
- Usage – view, among other things, storage use, the number of seats, the upload history, transfers sent and active requests, both for the organisation and per group.
Security detailsWhat is this?
- Signing in through SSO goes through Databeamer's identity service, which holds the identity provider's secrets. Databeamer's own servers do not see these secrets.
- SSO arranges how someone signs in, but does not automatically give access to encrypted data. A new SSO user stays pending until the required organisation keys have been made securely available to their account.
- Enforcing SSO only changes the way of signing in, not the encryption of data. Recovery still works through the recovery phrase.
- Organisation details such as name, slug, logo, member list, roles and membership labels are readable on the server. The same applies to the branding settings of guest pages.
Viewing your memberships #
Under Settings › Organizations in your personal settings you find all organisations you are a member of, including your role in each organisation.
